Our commitment to safety
At Maids Moreton Village Hall, the safety and well-being of all our users – including hirers, visitors, and volunteers – is our utmost priority. We are committed to maintaining a safe and welcoming environment, and we believe that safety is a shared responsibility. By understanding and adhering to the guidelines outlined here, everyone can contribute to a secure and enjoyable experience for all.
Responsibilities
The Management Committee aims to provide a healthy and safe environment for volunteers, staff, hirers and visitors. All statutory guidelines for public health and safety are regularly reviewed and risk assessments are carried out. Guidance is sought from Community Impact Backs and ACRE.
User Groups must play a key role in maintaining a healthy and safe environment by operating in a way which does not undermine health and safety procedures.
Service User Responsibilities
The User/ Hirer Nominated Contact is the person who represented their User Group at the time the booking was made.
The User/ Hirer Nominated Contact is responsible for:
- Recording and reporting all accidents and incidents which occur during their hire period.
- Ensuring that all members of the User Group and their visitors are familiar with the Hall’s Health and Safety Procedures.
- Ensuring that their User Group does not interfere with or disregard signs and equipment provided for reasons of health and safety.
4 Keeping a record of attendance in case of evacuation.
5 Advising the user group of their chosen assembly point in the event of an evacuation.
6 Advising the Lettings Officer of any faults or damage as soon as possible.
The Management Committee’s Responsibilities
- Producing and communicating the Hall’s Health and Safety Policy.
- Undertaking annual risk assessments and taking reasonable precautions to minimise hazards.
- Undertaking an annual Fire Safety maintenance check on fire-fighting equipment.
- Providing a First Aid kit and Accident Report Book.
IN THE EVENT OF FIRE
It is the responsibility of the named contact for the user group to keep a register of attendance in case of evacuation and to have an agreed assembly point best suited to the age and mobility of the user group.
Evacuate the building immediately through the nearest exit.
Assemble at your agreed assembly point.
Telephone the Fire Service.
Check against the record of attendance whether anyone is missing. Do not return to the building.
Key Health and Safety Points
- The entire building is Non-Smoking at all times.
- No activities may take place in the Hall which involve danger to the public.
- Fire Exits are clearly indicated by illuminated signs. Ensure that all emergency exits are kept clear. Chairs should not be stacked in front of exits. Cars should not be parked in front of exits.
- A First Aid Box is located in the kitchen by the hand-wash basin.
- No hazardous substances, (as regulated by COSHH), are to be brought into or stored on the premises.
- Do not block or interfere with Health and Safety signage.
- Children should be supervised at all times, especially when exiting the hall and in the kitchen.
- Reasonable care should be taken when moving furniture. Chairs should be stacked in 5’s using the stacking trolleys whenever possible.
- Users should take precautions to minimise danger when trailing cables across the floor. We recommend the use of hazard tape.
- Users should not fix decorations close to light or heat sources.
Use of Kitchen
- Children should be supervised at all times in the kitchen.
- Cleaning materials may only be stored in cupboards fitted with child locks.
- Users must remove all food and rubbish at the end of their booking. The Management Committee does not provide any food, condiments or beverages for public use and does not check that those left by user groups are safe for consumption.
- A separate hand-wash basin is provided in the kitchen.
- It is the responsibility of the hirer or their sub-contracted caterer to check that the fridge is operating at a safe temperature for storing food using the fridge thermometer provided. The fridge needs to be at 5C or below.
- The kitchen and its facilities should be left in a hygienic condition for the next user.
